Job Summary
As a Front Desk Associate in our logistics fulfillment team, you will be the first point of contact for clients, drivers, and internal teams. This role requires a friendly, organized, and resourceful professional who ensures smooth operations by managing front office tasks, coordinating communication, and supporting logistics processes. Your presence will set the tone for excellent service while contributing to the efficiency of our entire workflow.
Key Responsibilities
- Client Reception: Greet visitors, partners, and delivery personnel warmly, assisting them with inquiries or directing them to the relevant departments.
- Communication Management: Handle high-volume calls and emails, ensuring timely and professional responses to client and internal requests.
- Logistics Coordination Support: Assist in scheduling pickups/deliveries, verifying shipment documents, and updating tracking systems in real-time.
- Documentation Handling: Maintain and organize delivery logs, visitor records, and incoming shipment documentation for compliance and reporting.
- Interdepartmental Liaison: Coordinate communication between the front office, warehouse teams, sales, and logistics managers to ensure seamless service flow.
- Issue Resolution: Handle basic client concerns or escalations with poise, escalating to appropriate teams when necessary.
- Meeting & Schedule Support: Manage meeting room bookings, coordinate appointments, and support event logistics for team gatherings or client visits.
- Front Office Management: Ensure the reception area is tidy, professional, and equipped with necessary materials for a welcoming environment.
Skills & Qualifications
- Excellent communication and interpersonal skills with a strong client-first attitude.
- Familiarity with logistics or supply chain operations is a plus (training provided).
- Proficient in MS Office Suite and basic CRM or ERP tools.
- Ability to multitask, prioritize, and remain calm under pressure.
- Strong organizational skills with attention to detail for handling sensitive documents.
- Previous front office, administrative, or customer-facing experience preferred.
- Professional appearance and demeanor suitable for a corporate logistics setting.
- Flexibility to work in shifts if required by operational hours.
